Job Description

Thermal Works is seeking a highly skilled and experienced Logistics Coordinator to support both international and domestic logistics functions. The Logistics Coordinator will be responsible for managing the transportation and distribution of goods across both international and domestic markets. This individual will ensure that products are shipped and delivered efficiently while adhering to budget, quality, and regulatory standards. Additionally, the Logistics Coordinator will be responsible for shipping and receiving onsite to support the spare parts department. The ideal candidate will possess a strong understanding of logistics and supply chain processes, along with hands-on experience coordinating shipments and managing relationships with carriers, suppliers, and customs authorities.

Key Responsibilities

Include, but are not limited to:

International Logistics Coordination :

  • Oversee the end-to-end logistics process for international shipments, ensuring timely and cost-effective delivery.
  • Manage communication with international carriers, freight forwarders, and customs brokers.
  • Monitor and manage import/export compliance, ensuring all international shipments meet legal and regulatory requirements.
  • Prepare and process international shipping documents (e.g., bills of lading, customs declarations, commercial invoices).
  • Troubleshoot and resolve international shipping issues, such as delays, damages, and customs clearance problems.

Domestic Logistics Coordination :

  • Coordinate domestic shipments, including the selection of transportation modes, carriers, and delivery schedules.
  • Monitor inventory levels, track shipments, and communicate delays or issues to internal teams and customers.
  • Work with warehouse teams to ensure accurate and efficient loading, storage, and dispatch of products.
  • Optimize domestic delivery routes to minimize costs and enhance delivery speed.

Supply Chain Optimization :

  • Track and analyze logistics performance metrics to identify areas for cost savings and process improvements.
  • Collaborate with procurement and inventory teams to manage product flow and ensure supply chain efficiency.
  • Negotiate shipping rates with carriers and service providers to achieve competitive pricing and favorable terms.

Shipping & Receiving:

  • Receive, inspect, and document incoming shipments of service tools, spare parts, and supplies, ensuring accuracy and quality.
  • Prepare and package outgoing shipments, including labeling and coordinating with carriers for timely delivery.
  • Maintain accurate inventory records using manual logs or inventory management software; perform regular cycle counts.
  • Stock shelves and organize storage areas to ensure parts and tools are easily accessible.
  • Operate a forklift to load, unload, and move materials in compliance with safety standards.
  • Assist with occasional parts returns and warranty assessing, including documentation and shipping.

Communication & Customer Service :

  • Maintain effective communication with internal teams, vendors, and customers regarding shipment status and logistics updates.
  • Handle customer inquiries and concerns related to shipping and delivery.
  • Provide accurate and timely reporting of shipping costs, timelines, and logistics performance.

Skills & Requirements

Education / Experience

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field (preferred).
  • Minimum of 3 years of experience in logistics, with specific experience in both international and domestic shipping.

Specific Skills / Abilities

  • Experience operating a forklift.
  • Strong understanding of international shipping regulations, including customs compliance and import/export documentation.
  • Knowledge of Incoterms and HS/HTS codes.
  • Familiarity with various modes of transportation (ocean, air, ground) and the related logistics processes.
  • Knowledge of warehouse management systems (WMS) and transportation management systems (TMS).
  • Excellent organizational and problem-solving skills.
  • Strong communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Excel, Word, and PowerPoint).
  • Ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Detail-oriented with the ability to track and manage complex logistics operations.
