Job Title: Administrative Assistant

Job Type: Contract to Hire

Location: Denton, Texas

Salary Range: 20hr to 23hr

Benefits: Health, Dental 401k

The Information Technology Administrative Assistant provides critical support for the daily operations of IT Solutions, focusing on budget management, financial analysis and reporting, cost optimization, and operational strategy. This role plays a key part in maintaining vendor relationships, managing contracts and software licensing, and contributing to the development and implementation of departmental procedures and strategic initiatives.

Key Responsibilities

  • Perform high-level operational duties that require discretion, critical thinking, and independent judgment.
  • Support the IT budget process, including annual budget development, monthly reporting, financial forecasting, and spending analysis to identify cost-saving opportunities.
  • Provide subject matter expertise to IT leadership on budget management and financial resource optimization.
  • Ensure compliance policies and regulations in all operational processes.
  • Coordinate and support IT Solutions events and initiatives.
  • Contribute to IT communications, data analysis, reports, and presentations; assist with data-mining and visualization for grant proposals, annual reporting, and strategic initiatives.
  • Interpret and apply relevant policies, procedures, and regulations to day-to-day ITS operations.
  • Offer comprehensive administrative support to the CIO and ITS directors, anticipating needs and delivering proactive solutions.
  • Assist with technology projects and initiatives as needed.
  • Stay informed of best practices and emerging trends in budget and vendor management, contract administration, and IT business operations.
  • Represent IT Solutions in committees, project teams, and working groups.
  • Perform additional duties as assigned.

Minimum Qualifications

Education:

  • Bachelor’s degree required (Relevant experience may substitute for education on a year-for-year basis).

Experience:

  • At least three years of relevant business operations experience, preferably within an IT environment (Additional education may substitute for experience on a year-for-year basis).

Required Knowledge, Skills, and Abilities

  • Strong organizational and prioritization skills, with the ability to manage multiple deadlines and make independent decisions.
  • Excellent written and verbal communication skills; able to convey complex information clearly in both technical and non-technical terms.
  • Strong analytical and problem-solving skills; ability to anticipate and resolve critical issues.
  • High attention to detail and accuracy.
  • Proven ability to work collaboratively across diverse teams and stakeholders.
  • Proficiency in using computers, office equipment, and enterprise tools, including email and standard office software.

Preferred Qualifications

  • Experience in budgeting, financial forecasting, reporting, and use of financial software.
  • Advanced proficiency in Excel, Google Sheets, or similar tools, including complex spreadsheets, pivot tables, and data visualization.
  • Experience with project coordination and event planning.
