Job Description

We are looking for an experienced Real Estate Marketing & Transaction Coordinator to oversee and support the team on Colliers’ real estate operations in the Southeastern Wisconsin market. This role will be responsible for reviewing, drafting and executing contracts, leading marketing and social media efforts, and ensuring effective planning and implementation of all real estate initiatives. The ideal candidate will have extensive experience in real estate transactions, a deep understanding of the SE Wisconsin real estate market, and the ability to collaborate with internal and external stakeholders to drive business growth.

Key Responsibilities:

  • Contract Management & Negotiation:
    • Lead and manage all real estate transaction processes, including contract reviewing, drafting, and execution.
    • Review and analyze complex lease agreements, purchase and sale agreements, and other related transaction documents to ensure compliance with legal standards and business requirements.
    • Ensure all documentation is accurate, complete, and legally binding.
  • Real Estate Strategy & Planning:
    • Support the team in building out a formal team marketing/branding/social media strategy to expand existing efforts.
    • Develop and execute detailed transaction templates, including financial modeling, market analysis, client reporting, and proposals.
    • Work closely with senior leadership to provide strategic recommendations and drive key initiatives forward.
  • Marketing & Client Engagement:
    • Oversee and coordinate marketing strategies for the team’s existing and future pipeline of business pursuits, including digital marketing, print materials, and property listings.
    • Assist the team with activity and transaction-related efforts, including but not limited to prospect reporting, comps and marketing tracking, client reporting
    • Ensure that marketing efforts are aligned with the company’s brand and positioning, creating effective campaigns to attract and retain clients.
    • Manage relationships with external vendors, brokers, and industry contacts to ensure successful marketing rollout and business development.
    • Proactively recommend and improve processes to promote new ideas, strategy and overall efficiency.
  • Project Coordination & Execution:
    • Lead the team in deal related document preparation, tracking of existing and future deadlines on all deal related pursuits. Proactive follow up and tracking alongside the main lead within the team
    • Track performance on marketing efforts and report regularly on the progress of ongoing transactions and marketing efforts.
    • Coordinate and lead reoccurring meetings to update the team on all efforts and review existing and future projects, pursuits, marketing strategies
  • Stakeholder Management:
    • Serve as a key point of contact for internal and external stakeholders, including legal, finance, 3rd party vendors, and operations teams, to facilitate seamless transaction processes.

Requirements

  • Minimum of 5 years of experience in real estate transactions, with a focus on industrial properties.
  • Extensive knowledge of real estate contract law, negotiation strategies, and industry best practices.
  • Proven experience in real estate marketing, including the creation and implementation of effective campaigns.
  • Excellent communication and interpersonal skills, with the ability to work effectively with both internal teams and external partners.
  • Ability to analyze market trends, conduct financial analyses, and make data-driven decisions.
  • Proficiency in real estate software, Microsoft Office Suite, InDesign .
  • Bachelor’s degree in Real Estate, Business Administration, or a related field preferred
  • Minimum 5 years of experience
