Job Title: Operations Specialist

Location: Dallas, Texas (with 50–75% travel)

Department: Operations

Reports To: Vice President, Operations

Employment Type: Full-Time, Exempt

About the Role

We are seeking a highly motivated and resourceful Operations Specialist to join our dynamic Management Services team. This role is ideal for someone who thrives in a fast-paced, ever-changing environment and is passionate about supporting student housing communities. You will be responsible for a broad range of operational support functions, including on-site property management assistance, staff training and development, and the creation of operational resources and materials.

This role is based in Dallas, Texas , with regular travel (50–75%) to various property locations.

Key Responsibilities

Property Management Support

  • Assist Community Managers with daily oversight, leasing operations, and staff support
  • Ensure all leasing practices are in compliance with Fair Housing guidelines
  • Provide on-site assistance at properties requiring operational support or short-term staffing coverage
  • Facilitate new and ongoing training for platforms such as Leap, Foxen, PetScreening, Conservice, EZTurn, IRIO, and more
  • Prepare and reconcile Month-End reports; support with accounts receivable
  • Liaise with vendors and onsite teams to support operations and service delivery
  • Assist with lease administration using Entrata: applications, placements, move-ins/outs
  • Lead and support property “turn” processes, including training, communication, and checklist development
  • Plan team-building activities, presentations, and ice breakers for property and corporate engagement

Training & Development

  • Act as a resource for onsite staff, offering guidance on corporate policies and procedures
  • Support the Director of Training and Customer Experience in building and executing engaging training programs
  • Deliver in-person and virtual training sessions and update Standard Operating Procedures (SOPs) as needed

Reporting & Analysis

  • Monitor and report on operating budgets, occupancy metrics, and financial performance
  • Review audit records and identify critical administrative deadlines and compliance needs

Qualifications

  • Bachelor’s degree (B.A.) or equivalent combination of education and experience
  • Minimum of 1–2 years’ experience in student housing or related property management
  • Previous experience as a Community Manager is strongly preferred
  • Strong working knowledge of Microsoft Word, Excel, and property management software (Entrata preferred)
  • Exceptional communication and interpersonal skills
  • Ability to multitask, manage competing priorities, and remain composed under pressure
  • Strong analytical and mathematical skills, with the ability to interpret financial data
  • High degree of professionalism and a customer service mindset

Travel Requirements

  • This position requires extensive travel (50–75%) , primarily to support properties in different markets
  • Candidate must be comfortable working independently and remotely while maintaining strong communication with the corporate team
