We are seeking a highly driven, organized, and proactive individual to join our team as an Executive Assistant to the CEO. This is a demanding and dynamic role that requires a high level of energy, commitment, and the ability to thrive in a fast-paced, ever-changing environment. The ideal candidate will be someone who is not only comfortable working overtime and being available at odd hours and on weekends but also excels under pressure and is ready to handle a wide range of responsibilities with professionalism and enthusiasm.

Key Responsibilities:

  • Administrative Support : Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, coordinating appointments, and handling day-to-day correspondence. You will ensure that the CEO’s time is optimized and all administrative tasks are handled efficiently.
  • Operational Assistance : Play a key role in assisting with day-to-day operations across various departments. You will support marketing, sales, and operations initiatives, providing insight and administrative help to ensure smooth execution of projects and strategies.
  • Project Management : Help manage and prioritize multiple projects simultaneously, ensuring timely completion and that all deliverables meet the CEO’s expectations. You’ll be tasked with overseeing projects from start to finish, tracking progress, and ensuring key milestones are met.
  • Meeting Coordination : Coordinate internal and external meetings, prepare agendas, take detailed meeting minutes, and follow up on action items to ensure nothing falls through the cracks.
  • Travel Arrangements : Handle all travel logistics for the CEO, including booking flights, accommodations, and ground transportation. You will also accompany the CEO on business trips when necessary, both in-state and out-of-state, to provide direct support.
  • Communications : Draft and edit written communications on behalf of the CEO, including emails, reports, presentations, and proposals. Excellent writing skills are a must, as you will be responsible for conveying important messages with clarity and professionalism.
  • Problem Solving : Serve as a trusted go-to person for the CEO, helping to troubleshoot problems, provide insights, and offer solutions. You must be resourceful and capable of making sound decisions, even under pressure.
  • Hustle and Initiative : Be prepared to take initiative, identify opportunities for improvement, and proactively suggest solutions. This role requires a "hustler" mentality—you must be able to keep pace with the CEO and adapt quickly to changing priorities while maintaining a high standard of work.

Qualifications:

  • Experience : Working in a fast-paced curriculum in a fast-paced or high-growth environment. Experience supporting C-level executives is a strong plus. However, recent college graduates with strong internship or project experience who are eager to learn and grow in a dynamic environment are encouraged to apply.
  • Exceptional Communication Skills : Must have excellent verbal and written communication skills, with the ability to write and edit professional documents, presentations, and reports.
  • Confidence and Professionalism : You must be self-assured, able to speak up when necessary, and capable of interacting with people at all levels of the organization, including clients and stakeholders.
  • Time Management : Strong organizational and multitasking abilities are essential, as you will need to juggle competing priorities and tight deadlines without compromising the quality of your work.
  • Problem-Solving Abilities : You should have a keen eye for detail and the ability to solve complex problems quickly and efficiently. The role requires someone who can think on their feet and offer practical solutions when challenges arise.
  • Flexibility and Availability : This position requires flexibility in your schedule, as you will need to be available to support the CEO outside of standard business hours, including evenings, weekends, and on short notice.
  • Travel Readiness : Willingness and ability to travel with the CEO and other team members as needed, including out-of-state trips for business purposes.
  • High Energy and Enthusiasm : We are looking for someone with a high level of energy and enthusiasm, who is passionate about the role and fully invested in the success of the company.
  • Adaptability : You must be a fast learner, able to absorb and process new information quickly, and apply it effectively. The ability to shift gears and handle new tasks or challenges as they arise is essential.
  • Tech-Savvy : Strong proficiency with office technology, including Microsoft Office Suite (Word, Excel, PowerPoint), project management tools, and communication platforms. Familiarity with digital marketing tools is a plus.
