Executive Assistant to CEO/Founder for Tech Start Up

Torrance, CA

Work Hours 9am – 6pm

Salary up to 125K DOE plus Full Benefits and Unlimited PTO

A dynamic and visionary CEO/Founder of a rapidly growing tech startup, is seeking an exceptionally organized, proactive, and highly resourceful Executive Assistant to join their team. This key role will support both professional and personal needs, ensuring the CEO’s day-to-day operations run seamlessly. The ideal person will have worked in a high growth start up and is an excellent writer/communicator who is proactive and very detailed.

The CEO is deeply involved in the growth and success of their fast-expanding company, which has achieved impressive milestones. In addition to their primary business, they also oversee a diverse portfolio that includes ventures in music, licensing, real estate, and various other investments. As such, their schedule is demanding and multifaceted, requiring an assistant who can handle multiple priorities with efficiency and discretion.

The ideal candidate will have a keen ability to manage complex calendars, coordinate international and domestic travel, and take ownership of the various administrative tasks that enable the CEO to focus on high-level strategic decision-making. You will be a trusted partner, ensuring that the CEO’s professional and personal life is organized, streamlined, and well-managed at all times.

Key Responsibilities:

Oversee the CEO’s complex schedule, including meetings, calls, and personal commitments. Ensure that all appointments are managed with precision and clarity.

Arrange detailed travel itineraries, including flights, accommodations, transportation, and any other logistics necessary for business trips, ensuring efficiency and cost-effectiveness.

Handle personal tasks such as managing appointments, errands, and other day-to-day needs, ensuring the CEO’s life outside of work remains organized.

Assist in managing day-to-day business operations, including scheduling internal and external meetings, preparing materials for presentations, and tracking important deadlines.

Act as the point of contact for internal and external stakeholders, ensuring timely responses and maintaining the CEO’s preferred tone and messaging.

Provide support on various ongoing projects, ranging from technology initiatives to investments in real estate and music licensing. You will be expected to step in and help with administrative aspects of these ventures as needed.

Plan and execute both professional and personal events, from team meetings to corporate events, as well as personal celebrations or outings, ensuring smooth execution from start to finish.

Handle sensitive information with the highest level of confidentiality and integrity.

Desired Qualifications:

Proven experience as an executive assistant or in a similar role for 5 years, with a track record of successfully managing multiple priorities in a fast-paced environment.

Exceptional organizational skills with the ability to manage complex tasks and schedules.

Excellent communication skills, both written and verbal, with an ability to interface effectively with senior leaders, external partners, and clients.

Strong problem-solving abilities and the ability to think on your feet and adapt quickly to changing needs.

Proficiency with productivity tools, calendars, and travel management software.

A proactive, solution-oriented mindset with a strong ability to anticipate needs and take initiative.
