Job Description

Job Summary:

Primary Services is seeking a highly organized and proactive Travel & Admin Specialist with proven experience in corporate travel coordination to support a fast-paced and collaborative real estate team . This role is critical to ensuring operational efficiency by managing administrative logistics, coordinating communication across teams, and supporting real estate projects from start to finish. If you're detail-oriented, resourceful, and excel at multitasking, this is the role for you.

Key Responsibilities:

  • Provide day-to-day administrative and logistical support to the real estate team
  • Schedule meetings, manage calendars, and assist in maintaining project timelines
  • Coordinate complex corporate travel arrangements , including flights, lodging, ground transportation, and travel itineraries
  • Prepare and submit expense reports , travel reimbursements, and other required documentation
  • Maintain and update project files, contracts, and real estate-related documents
  • Serve as a key liaison between internal departments, vendors, and external stakeholders
  • Assist in the creation of presentations, reports, and meeting materials
  • Oversee office supply needs and manage any related facility or equipment requests
  • Track project milestones, monitor deadlines, and follow up on outstanding tasks
  • Support onboarding for new hires, ensuring access to resources and tools

Qualifications:

  • 2+ years of experience in project coordination, office administration, or executive support
  • Experience within real estate, facilities, or corporate services is highly preferred
  • Demonstrated ability to manage complex corporate travel logistics
  • Strong organizational and time management skills with the ability to prioritize and multitask effectively
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Familiarity with travel booking tools and project management platforms is a plus
  • Highly detail-oriented, self-motivated, and comfortable working independently and as part of a team
  • Knowledge of commercial real estate operations or facilities management is a strong plus
